Class Description
Group 1 - Internal School Programs and Municipal Meetings and Events

Group Description:

  • School-organized co-curricular or extracurricular activities that are supervised and/or coordinated by school department employee(s) and sanctioned by the school department. [ie., Student Council, Athletic Teams, Sanctioned Clubs, etc.].
  • Municipal meetings and events.

Insurance Requirements:

  • Covered under NSPS and/or Town of North Smithfield general liability programs.
Group 2 - North Smithfield Parent/Volunteer Organizations

Group Description:

  • Organizations that support NSPS educational programs and students [ie., PTO, MEANS, NAC, etc.]

Insurance Requirements:

  • For meetings only: A valid Certificate of Insurance coverage for property, liability and medical is required. A minimum of $1,000,000 property damage, $1,000,000 per occurrence with $1,000,000 annual aggregate for liability.
  • For all other activities/events: A valid Certificate of Insurance coverage for property, liability and medical is required. A minimum of $2,000,000 property damage,
    $2,000,000 per occurrence with $2,000,000 annual aggregate for liability.
  • The North Smithfield School Department and the Town of North Smithfield must be listed as Additional Insured. The School Department requests that vendors match the Department’s $3,000,000 per occurrence limit whenever possible.
  • The District may require higher liability limits, up to $5,000,000, and/or additional documentation based on the nature, size, or risk level of the proposed activity or event.
Group 3 - North Smithfield Organizations

Group Description:

  • Town sponsored recreation programs
  • Non-profit youth groups with the majority (at least 60%) of members being NS residents

Insurance Requirements:

  • A valid Certificate of Insurance coverage for property, liability and medical is required. A minimum of $2,000,000 property damage, $2,000,000 per occurrence with $2,000,000 annual aggregate for liability.
  • The North Smithfield School Department and the Town of North Smithfield must be listed as Additional Insured. The School Department requests that vendors match the Department’s $3,000,000 per occurrence limit whenever possible.
  • The District may require higher liability limits, up to $5,000,000, and/or additional documentation based on the nature, size, or risk level of the proposed activity or event.

Special Conditions and Fees:

  • Town-sponsored youth recreation programs must provide appropriate supervision and leave the facility clean and free of trash following use. If adequate supervision or cleanup is not provided, custodial services will be assessed at $40 per hour, subject to the four-hour minimum charge.
  • Weekend Custodial Fee: The weekend custodial fee is $40 per hour, with a minimum charge of four hours ($160). Custodial coverage is required for all indoor facility and turf field rentals.
  • Portable restrooms are provided for outdoor facility rentals. Access to permanent restroom facilities may require custodial coverage for opening, monitoring, cleaning, and securing the building. Such access is subject to School Department approval and staff availability and will be charged at $40 per hour, with a four-hour minimum charge ($160).
Group 4 - Non-resident and organizations outside of North Smithfield

Group Description:

  • All outside North Smithfield organizations, athletic clubs and semi-professional leagues
  • Indoor rooms and facilities are not available for rental by organizations located outside North Smithfield or by for-profit organizations.

Insurance Requirements:

  • A valid Certificate of Insurance coverage for property, liability and medical is required. A minimum of $3,000,000 property damage, $3,000,000 per occurrence with $5,000,000 annual aggregate for liability.
  • The North Smithfield School Department and the Town of North Smithfield must be listed as Additional Insured.

Public-Safety Details—Applicable to All Groups
Police, Fire, and Emergency Details: Regardless of group classification or whether facility-use fees are waived, facility users are solely responsible for arranging and paying all costs associated with any police, fire, emergency medical, or other public-safety details required for their activity or event. The need for such details will be determined by the appropriate public-safety agency. All required details must be arranged and confirmed by the facility user before the event. Failure to confirm a required detail may result in cancellation of the facility use.
